Your business email
Your business email is a mailbox at your own domain. You can add it to the email app you already use or read it in a browser with webmail.
Pick the one you use
Your email settings
The guides below use these settings. The mail server and the ports each have a Copy button so you do not have to type them.
- Email address
- The address we set up for youIt ends in your own domain.
- Password
- The one you chose on your account setup page
- Mail server
- chocobo.mxrouting.netIncoming and outgoing mail both use this server. Do not put “mail.” in front of it.
- Incoming port (IMAP)
- 993Use SSL/TLS for security.
- Outgoing port (SMTP)
- 465Use SSL/TLS for security.
- Username
- Your full email addressInclude the @ and everything after it.
Two things to get right
- Type your whole email address wherever a screen asks for a username.
- Outgoing mail needs your username and password too. Answer yes if a setup screen asks whether outgoing mail requires authentication.
Set your display name to your business name
Each guide below has a step that asks for your name. Type your business name there because your customers see that name on every email you send them. Someone who filled out your contact form should see your business name on the reply.
The field is usually labeled “Full Name”, “Your name” or “Display name”. You have to set the name separately in each place you send mail from.
Set your name in webmail
Webmail has its own setting for your name. Mail you send from webmail shows the part of your address before the @ as your name until you change it. Webmail is either Roundcube or SnappyMail. Follow the steps for the one you use.
Roundcube
- Open Settings and then Identities.
- Choose the identity shown in bold. Roundcube uses the bold one for every new message.
- Type your business name in the Display Name field.
- Press Save.
SnappyMail
- Open Settings and then Identities.
- Choose the row with your email address.
- Type your business name in the Display Name field.
- Press Update.
To check the name, start a new message and look at From. It shows the name your mail will go out under. You can close the message without sending it.
Gmail app on Android or iPhone
You will need the mail server and two ports from the settings near the top of this page. Copy each one there and paste it into Gmail when a step asks for it.
- Open Gmail and tap your profile picture in the top right corner.
- Tap “Add another account” in the panel that opens.
- Gmail shows a list of account types. Tap Other at the bottom of the list and do not tap Google.
- Type your full email address with the @ and everything after it. Then tap Next.
- If Gmail asks what kind of account this is, choose “Personal (IMAP)”. Do not choose POP.
- Type the password you chose on your account setup page and tap Next.
- The next screen is for incoming mail. Type chocobo.mxrouting.net as the server and 993 as the port. Set the security to SSL/TLS. The username is your full email address again.
- The screen after that is for outgoing mail. The server is chocobo.mxrouting.net again and the port is 465 with SSL/TLS security. Leave “Require sign-in” turned on and type your full email address and password there too.
- Gmail asks how often to check for mail. Pick any answer and tap Next.
- Type your business name when the last screen asks for your name.
On Android the Gmail app is already on your phone and you do not need another app for this mailbox. This is also the guide to follow on an iPhone if you read your mail in Gmail.
iPhone or iPad
- Open Settings and tap Apps, then Mail, then Mail Accounts. Tap Add Account and choose Other. On an older iPhone with no Apps in Settings you tap Mail, then Accounts, then Add Account, then Other.
- Tap Add Mail Account. Type your business name in the Name field and fill in your email address and password.
- Tap Next and choose IMAP.
- Type chocobo.mxrouting.net as the host under both the incoming and the outgoing mail server.
- Enter your full email address and password under incoming and under outgoing. You have to fill in the outgoing ones even though the screen says they are optional.
- Tap Save.
Apple Mail on a Mac
- Open Mail and choose Settings from the Mail menu. Under Accounts click the + button and choose Other Mail Account. On an older Mac the menu says Preferences instead of Settings.
- Type your business name in the Name field and then your email address and password.
- Mail will say the account must be configured manually and that is expected.
- Choose IMAP as the Account Type. Type chocobo.mxrouting.net as both the incoming and the outgoing mail server.
- Click Sign In.
Do this before you send anything
Apple Mail turns on a setting that picks its own port and you cannot send until you turn it off. You can still receive mail the whole time. The first sign is a message stuck in your Outbox with the error “Connections to host chocobo.mxrouting.net 465 on the default ports failed.”
- Choose Settings from the Mail menu again and open Accounts. Select your account and open the Server Settings tab.
- Find Outgoing Mail Account (SMTP) and uncheck the box next to “Automatically manage connection settings” under it.
- Set the port to 465 and check the box next to Use TLS/SSL.
- Set Authentication to Password.
- Type your full email address as the User Name and then your password.
- Click Save.
If it still will not send, change the port to 587 and leave Use TLS/SSL checked. The server accepts both ports and some networks prefer one over the other.
Make sure the Full Name field shows your business name while you are on the Accounts screen. Apple Mail often fills it in with the name on your Mac and your business mail can go out under that name.
Outlook
These steps are for the classic Outlook desktop app with a File menu in the top left corner. An Outlook with no File menu is the newer one and these steps do not fit it. Write to us at contactus@awningandpixel.com if yours is the newer Outlook.
- Choose Add Account from the File menu and type your email address. Under Advanced options choose “Let me set up my account manually” and then Connect.
- Choose IMAP.
- Incoming and outgoing mail both use chocobo.mxrouting.net with SSL/TLS. The incoming port is 993 and the outgoing port is 465.
- Enter your password and choose Connect.
- Choose Account Settings from the File menu and select your account. Change the “Your name” field to your business name if it shows something else.
Read your mail in a browser
Webmail is your mailbox on a web page. It works in any browser and there is nothing to install. Sign in with your full email address and the password you chose on your account setup page. You can use it to check your mail from a computer that is not yours.
Changing your password
You set your email password on the same account setup page where you saved your payment method. Look for the section called “Your business email”. The same section is called “Secure your new inbox” on the screen you see right after you pay.
If we emailed you a link to set your password, you set it on the page that link opens. That link works one time and expires after seven days.
You can change your password by opening the link to your account setup page again and setting a new one. That link works for fourteen days. After that, or if you set your password from an emailed link, write to us and we will send you a new link.
Once you change it you have to update the password in every app where you read this mail. Each one keeps trying the old password until you do and your mail stops arriving.
Do not use this password for anything else. Change it right away if you think someone else has seen it. You can also ask us to change it.
If something is not working
You can receive mail but cannot send it
In Apple Mail on a Mac the cause is the “Automatically manage connection settings” option. The error names the port and mentions “the default ports”. The Apple Mail guide above has the steps to turn it off. Everywhere else the outgoing server is missing your username and password. Open the outgoing or SMTP settings and enter your full email address and password there too.
“Cannot verify server identity” or a certificate warning
The server name has to be exactly chocobo.mxrouting.net with nothing in front of it. Look for a typo and remove “mail.” if it is there.
Nothing arrives at all
Send yourself a test message from another email address. If the test arrives, your mailbox is working and the problem is on the side of whoever was writing to you. Let us know if it does not arrive.
Mail stopped arriving after you changed your password
Every place where you already set up this account still has the old password. The mail server turns the old password away and your mail stops coming in there. Open the mail settings in each place you added the account and enter the new password.
The name you typed in webmail is not on your mail
Webmail does not keep the name until you press Save in Roundcube or Update in SnappyMail. The Display Name field looks filled in even when the name was never saved. Open Settings and then Identities again and press Save or Update.
Roundcube still sends under the old name
Roundcube sends every new message from its default identity and shows that one in bold. A name you set on another identity does not go on a new message. Open Settings and then Identities and type your business name on the bold one. Then press Save.
